AccessCode NG (“we”, “our”, or “us”) operates the AccessCode NG mobile application, a visitor and access management platform designed for residential estates. This Privacy Policy explains how we collect, use, store, and protect your information when you use our app.

By using AccessCode NG, you agree to the collection and use of information in accordance with this Privacy Policy.

Information We Collect

Personal Information

We collect information necessary to provide secure estate access management.

• Basic account details: full name, phone number, email address
• Profile photo: optional

Residents may also provide:

• Estate address and unit number
• Visitor names and phone numbers
• Visitor access and QR pass records

Guards and estate staff may provide:

• Staff identification details (e.g. badge number)
• Assigned duty areas
• QR scan activity logs

Automatically Collected Information

• Device type and operating system
• App version and basic usage data
• Crash reports and performance logs

Location Data

AccessCode NG does not collect precise GPS location data. Estate information is based only on the estate selected within the app.

Camera and Storage Access

• Camera access is used solely for QR code scanning
• Storage access is used for profile photos and QR code generation

How We Use Your Information

• To generate and validate visitor access passes
• To manage user accounts and authentication
• To maintain estate security records
• To improve app reliability and performance

Data Sharing

Within the Estate

Information is shared strictly on a role-based basis: residents, guards, and administrators only see data required to perform their responsibilities.

Third-Party Services

We use trusted third-party services to operate the app:

• Google Firebase (authentication, database, notifications)
• Google Play services (crash reporting and app stability)

We do not:

• Sell personal data
• Share data for advertising or marketing
• Use third-party ad networks

Data Security

We apply reasonable technical and organizational measures to protect your information, including secure authentication, encrypted data transmission, and access controls.

Access Revocation & Lost Devices

In the event that a user’s device is lost, stolen, or suspected to be compromised, access to the AccessCode NG application can be revoked immediately.

Users are required to notify estate management or the system administrator as soon as possible. Upon notification, the affected account will be disabled and all access credentials associated with that device will be invalidated. Access may only be restored after verification by estate management and, where applicable, re-registration on a new device.

The system supports manual and administrative revocation of access without requiring physical access to the device. AccessCode NG is designed to ensure that estate access remains secure even in cases of device loss or compromise.

While AccessCode NG provides tools for immediate access revocation, users are responsible for promptly reporting lost or compromised devices.

Data Retention

We retain personal data only for as long as necessary to provide the service, meet security requirements, or comply with legal obligations.

Children’s Privacy

Nigeria Data Protection

How to Delete Your Account

If you wish to delete your AccessCode NG account and associated data, please follow these steps:

1. Open the AccessCode NG app and go to Settings → Account → Delete Account.
2. Confirm the deletion request. All account information, including personal details, visitor records, and QR pass history, will be permanently deleted within 30 days.
3. If you cannot access the app, you may also request deletion by emailing fynkotechnologies@gmail.com. Please include your account email and phone number for verification.

Some security logs may be retained for up to 12 months for audit purposes, as allowed by law.
